Email Deliverability Consulting

Email Deliverability Consulting That Finds the Root Cause

Tools patch symptoms. An email deliverability expert finds the disease. Our engineers run a six-layer deliverability audit, trace your inbox placement failure to its source, and stay on the engagement until your numbers recover.

The honest definition

What email deliverability consulting actually covers

Email deliverability consulting is diagnostic work. A consultant pulls signals from your DNS records, your ESP, Google Postmaster Tools, Microsoft SNDS, and the major blocklists, then works out why your mail lands in spam while a competitor's lands in the inbox. The discipline spans six layers: authentication, IP and domain reputation, list quality, content patterns, infrastructure configuration, and compliance. Most deliverability problems live in the gaps between those layers, which is why a tool that watches one layer rarely explains the whole picture. Our consultants are the engineers behind a verification engine that has processed 2.1 billion+ emails for 500,000+ GTM teams.

You do not always need a consultant. If bounces are the problem, running your list through self-serve email verification fixes most of it; 20 to 40% of B2B lists fail at catch-all domains alone. If a new domain needs reputation, automated email warmup handles the ramp. If you were listed once, blacklist monitoring tells you the moment it happens again. Hire an expert when symptoms persist across tools: revenue email that sits in spam after every checklist fix, postmaster metrics that decline without an obvious trigger, or a migration too risky to improvise.

Every engagement starts with a deliverability audit. We take read-only access, review all six layers, and deliver a written report with findings ranked by impact, then stay through implementation and monitor results for 30 days. The audit is the product: you keep the report, the fix plan, and the measurement baseline whether or not you keep us. The 30-minute discovery call that scopes it costs nothing, and we will tell you plainly if self-serve tooling covers your case.

The full diagnostic

Six layers in every email deliverability audit

DNS is where most audits stop. It is where ours starts. Each layer below gets reviewed, scored, and tied to a concrete fix in the written report.

SPF, DKIM, and DMARC alignment

We verify all three protocols are configured, aligned, and actually enforcing. Most companies have SPF but skip DKIM key rotation or leave DMARC parked at p=none. After the engagement, the DMARC monitor keeps watching your reports so regressions surface in days, not quarters.

IP and domain reputation

We pull Google Postmaster Tools, Microsoft SNDS, SenderScore, and every major blocklist into one reputation profile, then trace each negative signal to a sending behavior. Continuous blacklist monitoring takes over once the engagement ends.

List hygiene and trap exposure

We analyze your bounce patterns, identify likely spam-trap hits, and audit acquisition sources for risk. This is where the 9-point email verification engine earns its keep: 20 to 40% of B2B lists fail at catch-all domains, the check most tools skip.

Content and sending patterns

Subject-line triggers, HTML weight, link domains, sending cadence, and segmentation strategy, each reviewed against what mailbox providers currently filter on rather than what worked in 2020.

Infrastructure and ESP configuration

Dedicated versus shared IPs, warmup status, suppression-list handling, feedback-loop enrollment, and bounce processing. An email server test shows exactly how your setup presents itself to receiving servers.

Compliance and bulk-sender readiness

CAN-SPAM, GDPR consent records, the Google and Yahoo bulk-sender requirements, one-click unsubscribe, and BIMI readiness. We close every gap and document the evidence, so the next requirements update is an edit, not an emergency.

Not promises. Measurements.

Deliverability consulting questions, answered straight

The questions we hear on every first call: cost, guarantees, blacklists, access, and when a consultant is overkill. Real numbers, no hedging.

What does an email deliverability audit include?

Six layers: email authentication (SPF, DKIM, DMARC), IP and domain reputation, list hygiene and spam-trap exposure, content and sending patterns, ESP and infrastructure configuration, and compliance. You get a written report with every finding ranked by impact, a live walkthrough, implementation support, and 30 days of post-fix monitoring. Continuous coverage afterwards can run on the DMARC monitor and our other automated tools.

How much does email deliverability consulting cost?

Engagements are scoped on the free 30-minute discovery call and priced by sending volume and complexity, quoted in your local currency. No long-term contract. If your problem turns out to be list quality, we will say so on the call: pay-as-you-go verification credits never expire and cost far less than a consulting engagement.

How long does blacklist removal take?

72 hours is the typical resolution once the root cause is fixed, though every blocklist runs its own delisting process and some major filters update on their own schedule. Delisting without fixing the cause just gets you relisted, so we fix first and file second. Afterwards, automated blacklist monitoring watches the major lists and alerts you on the first hit.

How is consulting different from Verifox self-serve tools?

Tools handle the automatable layers: email verification cleans your list, email warmup builds sender reputation, monitoring catches drift. Consulting is for problems that survive all of that: persistent spam placement with clean metrics, reputation damage with no obvious trigger, or a migration where one mistake costs weeks. The discovery call exists to tell you honestly which one you need.

Can you help with Google and Yahoo bulk-sender requirements?

Yes. The rules for senders above 5,000 messages a day are concrete: aligned SPF and DKIM, a published DMARC policy, one-click unsubscribe honored within two days, and spam complaints kept under Google's 0.3% threshold. Every audit includes a compliance pass against the current requirements, and 100% of our engagements over the last 12 months reached full compliance.

Should I send from a dedicated or shared IP?

It depends on volume and consistency. At lower volumes, a well-managed shared pool usually outperforms a dedicated IP you cannot keep warm; at sustained high volume, dedicated gives you a reputation you fully control. The audit answers this with your own data, and an email server test shows how your current setup presents to receiving servers before you commit either way.

Can you guarantee inbox placement?

No, and you should walk away from anyone who does. Mailbox providers do not sell guarantees, and filtering changes weekly. What we commit to is measurement: a baseline inbox placement test before any changes, the same test after every fix, and a written record of what moved. Across recent engagements, the average inbox rate improvement is 42%.

Do you work with cold outreach senders?

Yes, with conditions. Lists must be verified before sending, since cold lists carry the highest catch-all and spam-trap risk. We will also insist on separate sending domains and a proper warmup ramp before volume. What we will not do is help anyone send to people who never asked to hear from them at scale.

What access do you need, and is my data safe?

Read-only access to your ESP dashboard, DNS records, Google Postmaster Tools, and recent campaign reports. Nothing changes on your side until you make the changes yourself, with us on the call. Verifox is SOC 2 Type II audited, and any addresses we verify during an engagement are processed in memory, never stored, logged, or sold.

Do I need to be a Verifox customer first?

No. Consulting is standalone, and we work alongside whatever stack you run: SendGrid, Mailgun, Amazon SES, Postmark, Klaviyo, HubSpot, ActiveCampaign, and most enterprise platforms. Many clients later wire our verification engine into signup and import flows because it removes the list-quality class of problems permanently; the API reference shows the full integration surface.
